autoants for HVAC · Answering the phone

AI receptionist, answering service or a dispatcher: which fits an HVAC company?

If you mostly lose calls while you're on a job or after hours, a missed-call text or an AI receptionist covers those calls without adding a person. If your callers need a person who can make judgment calls, an answering service or a dispatcher on staff is the better choice.

We use the receptionist figure because it's the closest published local number. A dispatcher who also schedules techs and orders parts is a different job, and the pay depends on it.

How to decide, step by step

  1. Count a week of missed calls, and when they happen. On a job, at lunch, after 5, on weekends. We do this with you before we start.
  2. Mostly during the workday, while techs are busy? Start with the missed-call text. It's the smallest step.
  3. Many after hours, and some are real emergencies? AI answering with an emergency hand-off to a person, or a live answering service.
  4. You also need someone scheduling techs all day? That's a dispatcher. The text-back or the AI can still cover nights and weekends.
  5. Callers who won't talk to an AI? Some won't, and that's their call. A person is the better fit for them.

You can mix them. The comparisons go deeper: autoants vs an answering service and an AI receptionist vs a call center.

Questions

Will callers know it's an AI?

Yes. It says it's an AI in its first sentence, and again if anyone asks.

Can the AI book a tech?

It takes the job details and texts them to you. You text back to approve before the customer hears yes.

What does the AI never do?

It never quotes a price, diagnoses a system, promises an arrival time or takes a card number. Those calls go to you.

Can I keep my answering service?

Yes. Some shops keep a live service for calls and use autoants for the text-back, quote follow-ups and booking.
